SmartSchool.Africa ("we," "us," or "our") is a cloud-based software service provider. We provide the infrastructure, tools, and platform for educational institutions to manage their administrative, academic, and financial operations.
We are a Data Processor, not a Data Controller. The schools, institutions, and organizations that subscribe to our platform ("Clients" or "Schools") are the sole Data Controllers of the information they input into the system. We do not own, control, or make decisions regarding your school's data.
Our platform is built on a strict zero-knowledge architecture. Once the system is deployed and configured by your school, all data entered—including student records, biometric attendance, grades, and financial details—is end-to-end encrypted.
SmartSchool.Africa engineers, support staff, and administrators cannot decrypt, view, or access the specific student, staff, or financial data stored within your school's instance. Your data remains entirely opaque to us.
The school retains 100% ownership of its data. How the data is used, who has access to it, and how long it is retained is entirely controlled by the school's administrators via role-based access controls within the platform.
While we do not access your school's operational data, we do collect basic account information necessary to provide the service, manage billing, and respond to support requests:
Even though we cannot read your data, we protect the infrastructure holding it with industry-leading security standards:
Data is encrypted at rest and in transit.
Hosted on tier-1 compliant cloud infrastructure.
Our platform integrates with third-party services (such as SMS gateways and mobile money payment APIs) to send notifications and process fees on behalf of the school.
Important: These integrations are configured and authorized by the school. The data passed through these APIs (e.g., an SMS message to a parent) is initiated by the school's system. SmartSchool.Africa does not store the contents of these messages or financial transactions on our own servers in a readable format.
Because SmartSchool.Africa is a service provider and cannot view student data, parents and students must direct any data subject requests (such as requests for data access, correction, or deletion) directly to their School Administration.
The school acts as the Data Controller and is responsible for responding to and fulfilling these requests through the tools provided within the SmartSchool platform.
